Payroll – Processing New Student Hire

After the hiring process has begun through the Service Portal, you will have a new Requested Item (RITM) in your ServiceNow Dashboard. Navigate to the RITM in question, and you will see that the Item State is ‘On Hold’ and the ‘On hold reason’ is automatically set to ‘Student Information.’

An email with a form will automatically be sent out to the student in question. Once the student completes and submits the form, the RITM will automatically update the Item State to ‘Open.’

This is where you’ll manually have to change the Item State to ‘On Hold’ and select the ‘On hold reason’ to ‘Student Appointment.’

Upon updating the RITM, the student will receive another automatic email to set up an appointment. When they pick a date and time, you will receive a confirmation of their appointment. Once you do, switch their Item State to ‘Work in Progress’ and manually input the appointment date.

After the student comes in for their appointment and is hired, close the Item by setting the State to ‘Closed Complete.’ The student will then automatically receive a ‘Work Authorization’ email.

Upon completion of each of these steps, please make sure that you are incrementally updating the Item.
